Microsoft Investigates Outlook Issue Preventing Users with Over 500 Subfolders To Send Mail

Microsoft has officially recognized an ongoing issue affecting a segment of Outlook Desktop users, hindering their ability to send emails. This issue primarily affects a minority of users who have amassed more than five hundred subfolders within their primary account, leading to the occurrence of error code 0x80040305 when attempting to send emails. While the existence of this limitation within Outlook has been acknowledged for several years, it has only recently gained sufficient attention to prompt a comprehensive investigation by Microsoft. The Outlook team has shed light on the original 500-folder restriction, which was implemented to mitigate excessive support costs.

Notably, in 2019, Microsoft extended the folder limit for shared accounts to 5,000 due to the rapid surpassing of this threshold by users. However, the limit for primary accounts remained unchanged. Present developments suggest that an adjustment to the folder limit for primary accounts may be on the horizon.

In the interim, Microsoft has put forth two temporary solutions. The first involves a straightforward reduction of subfolders to below 500, with a recommended target of fewer than 450 for enhanced security. An alternative workaround involves maintaining all folders in a collapsed state. Furthermore, Microsoft advises users to abstain from specific online actions, explicitly mentioning activities such as "View on server" and "Click here to view more in Microsoft Exchange." The timeline for the implementation of a permanent solution to this issue remains uncertain.
